MacSafety Solutions is an independent health and safety consultancy based in County Down and operating across Northern Ireland. For personal information handled for our own business purposes, MacSafety Solutions is the data controller.

2. Information we may collect
The information involved depends on how you contact us and the service commissioned. It may include:
- Your name, employer, role, telephone number and email address.
- Enquiry, quotation, appointment and billing information.
- Project locations, work scopes, drawings, programmes and safety documentation.
- Training attendance information and, where relevant, face-fit test details and results.
- Site notes, photographs, inspection findings and action records.
- Information supplied for an accident, incident or near-miss investigation, which may include witness accounts and information about injury or health.
- Technical records created when the live website is accessed, such as security logs, depending on the hosting provider selected.
Please do not include sensitive personal or health information in an initial website enquiry. If it is needed for an agreed service, we will confirm an appropriate way to provide it.
3. How and why we use information
Enquiries and quotations
We use contact and project information to respond, understand your requirement, prepare a quotation and take steps you request before a contract. Depending on the circumstances, this may rely on taking pre-contract steps and our legitimate interest in managing genuine business enquiries.
Delivering services
We use relevant information to plan and deliver consultancy, documentation, investigation, training and related support; communicate with authorised project parties; manage revisions and actions; and administer the engagement. This will normally be necessary for a contract, to meet applicable legal obligations, or for legitimate business and safety-management interests, depending on the specific processing.
Records, accounts and claims
We may keep information needed for invoicing, tax, insurance, professional advice, dispute handling and the establishment, exercise or defence of legal claims, where applicable.
Sensitive information
Investigation work can involve health information or other special-category personal data. We will only handle this information where it is necessary for the agreed work, a suitable UK GDPR lawful basis and Article 9 condition apply, and appropriate safeguards are in place. Where we act on a client’s documented instructions, the client may remain responsible for decisions about that information.
5. How long we keep information
Personal information is retained only for as long as needed for the purpose for which it was collected. The period depends on the type of record and may be influenced by contractual, tax, insurance, professional, regulatory and claims-related requirements. Information that is no longer required will be securely deleted or anonymised where appropriate.
6. Your data-protection rights
Depending on the circumstances and the legal basis used, you may have rights to ask for access to your personal information, correction, erasure, restriction, portability or to object to processing. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.

You may also raise a concern with the Information Commissioner’s Office. We would welcome the opportunity to address the concern first.
7. Security and international transfers
We will use proportionate organisational and technical measures to protect personal information, taking account of the sensitivity of the material and the way it is received, stored and shared.
If a service provider stores or accesses information outside the United Kingdom, we will take reasonable steps to ensure an appropriate transfer mechanism and safeguards are in place where required.
9. Changes and contact
This notice should be reviewed whenever website, service, provider or data-handling arrangements change. The published notice should show its effective date and explain material updates where appropriate.
